How a coaching team works: roles, permissions and transferring athletes
Admin and Coach roles, module permissions, shared plans and library, how athletes count towards your plan, transferring athletes and deleting a coach.
Once you have added coaches to your TrainerPlan account, you work as a team: each coach has their own athletes, and as the account owner you decide what each coach can see and use. This article explains the Admin and Coach roles, module permissions, what the team shares, how athletes count towards your plan, how to transfer athletes between coaches and what happens when you delete a coach. Admin and Coach roles
- Admin: works with the athletes and groups of every coach on the team, and sees every plan, including private ones.
- Coach: works only with their own athletes (the ones they invite or that are transferred to them) and their own groups.
The account owner has full access and is the only one who manages the team and the subscription, from the Team and Billing pages.
To change a coach's role, open Team from the menu under your profile picture, click the role shown in the Role column, choose the new role and confirm. The change applies straight away.
Choose which modules a coach can use
- Open Team.
- On the coach's row, open the three-dot menu and choose Permissions. This menu appears once the coach has accepted the invitation.
- Under Allow the user to access, tick the modules the coach can use: Payments (both global and private), Groups and Plans. Untick a module to block it, for example Payments.
- Click Add and confirm.
A blocked module disappears from the coach's menu, and opening it directly shows an access denied page. Permissions apply to Admins too. The Library is not part of these permissions: every coach on the team can use it.
What the team shares
- Plans: coaches see the plans created by the owner and by the other coaches. To keep a plan away from the other coaches, switch on Private ("hidden from non-admin coaches on your team") when you create it. A private plan stays visible to the coach who created it, to Admins and to the owner. Owners and Admins can change this option later in the plan's settings.
- Library: the workouts, events and files saved in the Library are available to the whole team.
How athletes count towards your plan
The whole team works under the owner's subscription, so the coaches you invite don't need a plan of their own. The athlete limit of the owner's plan covers the active athletes of every coach on the team, including the owner's own athletes. For example, if you have 10 athletes and two coaches have 10 athletes each, the team is using 30 athletes of your plan. Archived athletes don't count towards the limit.
What adding a coach costs
Each coach on your team is billed as an extra item on the account owner's subscription, monthly or yearly to match your plan. When you click Add Coach, the confirmation step shows the price per coach before you click Confirm. The charge is added to your subscription when the coach accepts the invitation.
Transfer athletes to another coach
- Go to My Athletes.
- Tick the athletes you want to move and click Transfer athlete in the bar that appears. For a single athlete, you can also open the three-dot menu next to their name and choose Transfer.
- In Transfer To, choose the coach.
- Click Transfer athlete.
The athletes move to that coach straight away. Plans assigned directly to them stay assigned, but they are removed from the groups they were in, so add them to the new coach's groups if they should keep training with a group.
Delete a coach
- Open Team.
- On the coach's row, open the three-dot menu, choose Delete and confirm.
The coach loses access to TrainerPlan, and everything they managed moves to the account owner: their athletes, workouts, groups, plans and Library items. The deletion runs in the background and can take a few minutes. Only the account owner can delete a coach.
Good to know
- A team needs a paid subscription. During the free trial, the Team page asks you to subscribe before you can invite coaches.
- The three-dot menu on the Team page also lets you open a Chat with a coach or use See Athletes to view their athletes.
